For leaseholders · major works, Section 20, service charges

The estimate changed.
Find the paper trail.

Notices through the letterbox, estimates as email attachments, the explanation somewhere in a residents’ WhatsApp group. KIAgent reads all of it on your own computer, so ChatGPT or Claude can show where a cost first appeared, when it changed, and what you were told, with the date and a link to each original.

Every mention, in date order, from a PDF, an email and a photographed notice.
Letterbox, inbox, group chat

Your building’s paper trail is in four places, and none of them talk to each other.

England has about five million leasehold homes, most of them flats. When major works start, notices often arrive on paper, the estimates come by email, the minutes sit in a shared folder, and the real discussion happens in a residents’ WhatsApp group with hundreds of unread messages. Months later, someone has to find who said what, and when.

In order

Every notice about the roof works, in the order you got them.

Ask for the sequence and your AI builds it from everything KIAgent has read: the letter you photographed, the estimates attached to emails, the agent’s updates. Each line has its date and a link to the original.

  • Mail, PDFs and photographed letters in one list
  • Dates taken from the documents themselves
  • Links to each original, so you can check it
Four notices from three places, dated and linked.
Paper notices

Photograph the notice. It files itself.

Choose a folder as Incoming, for example one your phone saves to through iCloud Drive or Google Drive. Every photo or scan you save there is read on your computer and moved into your folders by rules you write in plain words.

  • Text in photos and scans recognised on your computer
  • Rules in plain words, like “anything from Fenwright about the roof goes to Major works”
  • Saved notices are searchable from then on
Incoming: photographed notices filed into Major works, Service charges and Meetings.
What you asked, what they said

Did they ever answer? Find out in one question.

Requests to the managing agent get lost between reminders. Ask when you wrote, what you asked for, and whether a reply came. Your AI reads your own sent mail and the agent’s answers, and says plainly when it finds nothing.

  • Your sent mail and their replies, side by side
  • Says when there’s no reply, rather than guessing
  • Dates come from the messages, not from memory
What you asked for, when, and the last thing they said.
How it works

Start keeping the trail today.

1

Connect your mail and WhatsApp

Gmail, Outlook or any IMAP mailbox, and the chats you’re in. Everything is read on your own computer.

2

Photograph every notice

Save photos and scans into your Incoming folder. They’re read and filed by your rules.

3

Ask ChatGPT or Claude

Where a cost first appeared, what you were told, and when. Every answer links to the original.

The residents’ group

What was said at the meeting, without scrolling 400 messages.

KIAgent reads your WhatsApp chats on your computer, including the residents’ group you’re in. Ask what the agent said at the meeting and your AI finds the summary a neighbour posted, with the date.

  • Only chats you’re in, read on your own computer
  • Finds a message by what it says, not by scrolling
  • Group chats hold your neighbours’ details too, so remove them before sharing anything

Writing back

A calm, specific question to the agent, citing both estimates.

Ask your AI to draft the follow-up and it writes from the documents: the figure in March, the figure in September, the breakdown they promised. The draft waits in your Outbox until you read it and press Send.

  • Cites the dates and figures from your own documents
  • Nothing is sent until you confirm it
  • Works with Gmail, Outlook and any IMAP mailbox

No managing-agent portals, and no SMS: only what reaches your mail, your chats and the folders you add

Your records, your laptop

Your lease and your neighbours’ messages don’t belong in another cloud.

Everything KIAgent reads stays on your own computer. When you ask your AI about a letter, only what the answer needs goes to it, and every lookup is on the record.

Your documents stay on your computer
Your lease, notices and group chats are read and stored here, not on our servers.
Letters read on your computer
Text recognition for photos and scans runs locally. Nothing is uploaded to read them.
You decide what goes to your AI
When you ask ChatGPT or Claude, only the passages that answer needs go to it. Folders you don’t add are never read.
Every lookup is logged
See what your AI looked up, and when. Revoke an app’s access in one click.
Remove it, and it’s gone
Remove a folder or account and everything read from it is deleted too.
Open source
Read every line of what touches your documents.
Your AI asked — every request, every app, on your machine.
Honest answers

The questions a skeptic actually asks.

No to both. KIAgent finds your documents and your AI tells you what they say, with links to the originals. Whether a cost is reasonable, or what to do about it, is a question for a free advice service such as LEASE, or a solicitor.

KIAgent is one person’s archive on one computer. It suits the resident who ends up keeping the records. Anything you share from it with others is up to you, so remove neighbours’ names and numbers first.

No, there are no deadline alerts. Ask your AI what dates a notice gives and it reads them from the notice itself. Put the important ones in your calendar.

If you connect WhatsApp, it reads the chats you’re in, on your own computer, including that group. It never sees chats you’re not part of.

Yes, the same way. Move-in photos and the inventory, the first email to your insurer about the leak, the builder’s quote against the final bill: if it reached your mail, chats or folders, your AI can find it and show you the date.

Pick any folder on your computer as Incoming, for example your iCloud Drive or Google Drive folder, and save photos or scans of your letters there from your phone. KIAgent reads each new one and files it by your rules. It doesn’t reach into your phone’s photo library by itself.

Yes. Everything on your own computer is free and open source. The only paid option is remote access, so ChatGPT or Claude on your phone can reach your computer, handy at the residents’ meeting.
